How to submit an interlibrary loan request in OneSearch

Step 1: Navigate to MLML/MBARI Research Library's catalog, OneSearch. (Do not use SJSU's King Library for ILL.) OneSearch

Step 2: Click on the “Sign In” button located in the upper right hand corner.

Step 3: From the login screen, enter your standard MLML or MBARI credentials. 

Step 4: Search!

Step 5: If you find it in OneSearch, you can request it using the "Get it" button. Enter a volume or any notes only if necessary, otherwise just click "Send." You will receive an automated confirmation email. When your item is ready, you will receive another email with a link to download the digital or a note telling you to come to the library to pick up the physical book.

 

Step 6: If we don’t have a record of it, please fill out a blank ILL request form by pressing the 'ILL Request'  button on the top ribbon. Fill out the form with the required fields and any other necessary information for us to identify what you need. You will receive an automated confirmation email. When your item is ready, you will receive another email with a link to download the digital or a note telling you to come to the library to pick up the physical book.

 

Note: If your request cannot be processed through OneSearch the system will create a request in our supplemental system called ILLiad. If you do receive a cancellation email, please either contact us or proceed to the instructions below to place a request through ILLiad. (Please only use the ILLiad resources if your request was canceled, it is a slower process and will result in longer wait times for your items.)

 

 

 

Interlibrary Loan (ILL) Overview

Interlibrary Loan (ILL) is a service that allows students, staff, researchers, and faculty of MLML and MBARI to borrow books and articles not available through the MLML/MBARI Research Library at no charge to the user. ILL is a cooperative effort among libraries around the world.

We use our OneSearch (see instructions above) and a supplemental system called ILLiad to process interlibrary loans.

ILLiad requests should be submitted for library materials that are not available through the MLML/MBARI Research Library. Before submitting an ILLiad request, please search the online library catalog OneSearch and place your request as described above. Requests placed through OneSearch arrive more quickly and have longer checkout periods than do ILLiad loans.

How to submit an ILL request via ILLiad

  1. Navigate to the ILLiad homepage. ILLiad is also linked on the Library Services menu on the library website.
  2. Enter your ILLiad username and password to log in. Please note that these are different from your standard MLML or MBARI credentials as ILLiad is a separate system.
    • If this is your first time submitting an ILL request through our library, click on the "First Time Users" button to make a new ILLiad account.
    • If you have used ILLiad before but need help logging in, click on the "Forgot Password" button.
  3. Once you have logged in, you will be directed to the ILLiad Main Menu page. From this page you can place new requests, view your existing requests (including due dates), and change your account information.
  4. To submit a new ILL request, navigate to the New Request menu and then click on the appropriate material type for your request.
  5. You will then be directed to the Request Information page. To ensure that you receive the correct article or book, enter as much information as you can. Most of this information can easily be found in a citation for the item either on Google Scholar (learn more in our Google Scholar library guide) or in another book/article's references section. The most important fields to complete for both article and book requests are highlighted below.
    • Article Request: article author, year, article title, journal title, volume, issue number, pages, not wanted after date
    • Book Request: authors/editors, title, year, publisher, edition, ISBN, not wanted after date
  6. Once you have filled out as much information as possible, click the "Submit Request" button at the bottom of the page. This will send the request to library staff who will check the information for accuracy and then forward the request on to our partner lending libraries.
  7. Submitted requests will now be visible from the ILLiad Main Menu page. The status will update as the request is processed.
  8. When the ILL request has been fulfilled by one of our partner libraries, you will receive an email notifying you of the next steps.
    • Articles and book chapters will be delivered electronically as pdfs.
    • Physical books will be shipped to the MLML/MBARI Research Library for you to pick up from the library staff office during our open hours. If you are at MBARI and would like your book delivered to the MBARI front desk, please contact us at mlml-library@sjsu.edu to coordinate that.
